Document control specialists store, manage, and maintain company documents, while ensuring the accuracy and quality of documentation. This job includes tasks such as processing documents for revision and approval, organizing documents from conception to distribution and filing, and creating systems which can then be used to train staff on document control processes. A Document Control Specialist maintains and manages all important documents for the organization and ensure that it is easily accessible and stored. This role often involves ensuring all departments are following released procedures. As part of this role, candidate will be expected to perform quality audits of Powin’s Quality System and follow ups at regular intervals. Additionally, applicant may be asked to lead cross functional teams addressing needed initiatives.

Objectives of this Role

  • Obtain a deep understanding of products and services to translate complex product information into simple, polished, and engaging content.
  • Develop comprehensive documentation that meets organizational standards.
  • Write user-friendly content that meets the needs of the target audience, sets our users up for success (Internal, External audiences)
  • Ensure conformance to procedures and standards through auditing.

Key Responsibilities

  • Develop and implement processes related to document control and management.
  • Checking quality of documents.
  • Monitoring processes.
  • Setting up document filling systems.
  • Coordinate all activities related to the Document Control procedure, including technical documents, and drawings.
  • Maintain product and engineering documentation files.
  • Gather and organize material according to the required document format, following documentation standards, work instructions, and other relevant processes.
  • Facilitate meetings as needed, to gather relevant information needed for document deliverables.
  • Develop business process flows as requested.
  • Generate the various document control reports as required.
  • Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable.
  • Maintain updated records of all approved documents and drawings and their distribution clearly.
  • Work closely with multiple departments to determine their needs for written documentation.
  • Evaluate current document control process and develop innovative approaches for improvement.
  • Gather and organize material according to the required document format, following documentation standards, work instructions, and other relevant processes.
  • Prepare, review, revise, and maintain templates, procedures, and other written material.
  • Standardize documentation among the different areas.
  • Review and improve clarity of documentation as needed.
  • Perform rewrites, updates and further improvements including edits of document as a result of feedback.
  • Create templates and format documents using the Microsoft Office tools (Word, Excel, PowerPoint, Visio, Sharepoint, etc)
  • Will be required to administer the processing of documents via the established Document Processing Review process
  • Work on Document Control tasks with minimal supervision when necessary
  • Lead cross functional teams as needed.
  • Perform Quality audit of Quality Management System
  • Assist in related tasks as requested by Quality Management.

Qualifications and Experience

  • Bachelor’s degree or equivalent.
  • 3 - 5 years’ experience.
  • Proficient at editing technical documents.
  • Ability to work closely with multiple organizational departments.
  • Excellent communication/writing skill
  • Ability to work independently and manage work to defined schedules.
  • Ability to conduct and/or lead internal audits preferred
  • Must be able to maintain a professional and cooperative attitude with all team members.
  • Must be able to work efficiently in a high stress environment.
  • Must be able to prioritize conflicting needs and handle matters expeditiously.
  • Proficiency in using the current Microsoft office suite and advanced skills in using Word for complex documents within a collaborative environment such as SharePoint.
